Carryover helps teachers and administrators easily re-add returning children to Hatch Insights™ after they've been archived. When a child is carried over, they retain:
- All progress in Ignite by Hatch™
- Their profile settings
- Their photo
- Any applicable HatchSync® document counts previously sent to Teaching Strategies GOLD®
When to Use Carryover
- Use carryover for children who have been archived.
- If a child, class, or school has been deactivated, do not use carryover. Instead, reactivate them so they can play again.
About These Instructions
This article covers the Bulk Carryover method.
For instructions on using Simple Carryover, click here.
Before You Begin
Log in to Hatch Insights with your credentials.
1. Create New Year’s Classes
Before using Bulk Carryover, you must first create all classes for the new school year.
- From the top menu, go to ROSTER and select Add New Class
- Complete the form to create each classroom
- Click Create Class to save
Tip: If you have many classes to set up, consider doing this first to avoid errors when importing the CSV later.
2. Open the Bulk Carryover Tool
- From the top menu, go to ROSTER and select Carryover Last Year's Children
- On the Carryover page, you’ll see two options: Simple and Bulk
- Simple is best for carrying over a few children
- Bulk is best when updating multiple classes or large groups
- Under Bulk Edit CSV, click Continue
3. Download and Prepare Your CSV
On the Bulk Carryover page, you’ll see instructions for carrying over using a CSV file.
- Click the plus sign (+) next to GUIDELINES to expand the formatting rules
- If you want to carry over recently archived children, click the green Download Last Year's Data button.
- If you have multiple years of archive data, you will see additional blue buttons that can be used to download older data.
- You can either:
- Remove children you don’t want to carry over from the downloaded sheet
- Or create a new spreadsheet with only the children you do want to carry over
Your spreadsheet must include the following columns:
- Child ID
- First Name
- Last Name
- Date of Birth
- Educational Journey (e.g., Ignite)
- Previous Classroom Name
- Previous Teacher Name
- School Name
- New Classroom Name (where the child will be placed)
Make sure your spreadsheet is saved as a CSV file before uploading.
4. Upload Your CSV File
- Upload the completed CSV to Hatch Insights
- The system will process your carryover and place each child into their new class
Important Notes
- Carryover is a one-time process. If you need to carry over a child more than once, please contact our support team.
- If you change a child’s class outside of the carryover process, their previous learning sessions will stay tied to the old class—which may affect reporting. We're working on improvements here, but carryover remains the best method for returning children.
