Introducing the CSV Import for Teacher & Class Data
Hatch Insights™ provides a method for importing child and family member data via CSV format. This method of adding data can be helpful if you have the ability to export roster data in bulk from another platform, such as Teaching Strategies.
- Importing new teachers will trigger a welcome email inviting teachers to visit Insights and to begin using the Ignite by Hatch™ app with children in their assigned classes.
- Visit ROSTER > Imports > Roster CSV.
- You will see gray bars on the page, one of which will be labeled Import Teachers & Classes. Select this bar.
- This will unfold details about correct formatting of the import.
- You will also see the option to download a blank template or a template containing your current data for each import type.
What Can This Import Do?
- Add a teacher by creating a new row with that teacher's information next to information for the teacher's class.
- Add a new class by adding class info in the same row as the teacher info. You can do this even if the teacher is already in the system; just ensure the teacher's information matches system information exactly.
- Assign new or existing teachers to new or existing classes by including complete, matching teacher information or class information together in the same row.
How Do I Start an Import?
- Ensure that your school setup is complete. You will need to match the spellings of school names in your system when completing this import.
- Visit the Import Roster CSV page and download the CSV template. If you have any data in the system already, we recommend that you download your current data and add to it to avoid importing duplicates.
- Review the required fields carefully and gather any data sources you need to provide the needed information.
- Copy and paste or fill data into the template.
- It is important to use a downloaded template file format saved as a CSV file type.
- If you have exported data from another source, copy data columns in alignment into the template.
- Keep an eye out for slight formatting differences, which can be fixed with "find and replace."
- For fields such as school names, we recommend you select Copy School Names so that you can copy the exact spelling. The exact spelling of existing schools is required to assign teachers and classes correctly.
- Upload your data on the same page from which you downloaded the template.
- Fix errors as they arise. Even if you have errors, your correct data will be applied to the system immediately. You can download our shorter "Corrections Sheet," including only the rows that need fixes to save time sifting through data and uploading.
Which Fields Are Required or Optional?
Teacher Fields
- School Name (required)
- Example format: Greenhope Elementary
- Letters, numbers, and special characters are allowed
- School names cannot be longer than 128 characters.
- Teacher First Name (required)
- Example format: Melissa
- Letters, numbers, and some special characters are allowed
- Teacher Last Name (required)
- Example format: Hill
- Letters, numbers, and some special characters are allowed
- Email Address (required)
- Example format: mhill@greenhope.edu
- Must be a valid email address that can receive emails. Passwords will be delivered via email.
Class Fields
- Class Name (required)
- Example format: Marbles 2B
- Class names cannot be longer than 40 characters.
- Class Icon (optional)
- This icon represents the class on the Child Login screen in Ignite. Children select their class icon when more than one class is associated with the logged-in teacher. We recommend choosing different icons for classes assigned to the same teacher.
- If an icon is not specified, an icon will be assigned randomly for this class.
- Choose one of these options: Frog, Cat, Rabbit, Monkey, Robot, Turtle, Blue_Creature, Green_Creature, Henry, Doctor_Fizzmo, or Planet
